At Airefresh, we are committed to providing high-quality HVAC services and ensuring customer satisfaction. This refund policy outlines our procedures for handling service issues, cancellations, and refund requests.

2. Service Satisfaction Policy

2.1 Quality Assurance

We stand behind the quality of our work. If you are not satisfied with our service, please contact us within 30 days of service completion to discuss your concerns.

2.2 Service Corrections

If our service does not meet your expectations or industry standards, we will:

  • Return to correct any issues at no additional charge
  • Provide additional service as needed to meet agreed-upon standards
  • Work with you to find a satisfactory resolution

3. Cancellation Policy

3.1 Appointment Cancellations

Customers may cancel scheduled appointments under the following conditions:

  • 24+ Hours Notice: Full refund of any deposits or prepayments
  • Less than 24 Hours: May be subject to a cancellation fee of up to $50
  • Same-Day Cancellation: Cancellation fee may apply unless due to emergency circumstances

3.2 Weather-Related Cancellations

Services cancelled due to severe weather conditions will be rescheduled at no additional charge with no cancellation fees.

4. Refund Eligibility

4.1 Eligible Refund Situations

Refunds may be provided in the following circumstances:

  • Service was not performed as agreed upon
  • Significant delays caused by our scheduling errors
  • Equipment damage caused by our negligence
  • Service cancellation with proper notice
  • Duplicate payments or billing errors

4.2 Non-Refundable Situations

Refunds will not be provided for:

  • Services completed according to agreed specifications
  • Customer dissatisfaction with pre-existing equipment conditions
  • Normal wear and tear discovered during service
  • Emergency service calls completed successfully
  • Parts and materials that have been installed and are functioning properly

5. Refund Process

5.1 Requesting a Refund

To request a refund, customers must:

  1. Contact us within 30 days of service completion
  2. Provide detailed explanation of the issue
  3. Allow us opportunity to correct any service deficiencies
  4. Submit refund request in writing if resolution cannot be reached

5.2 Refund Timeline

Approved refunds will be processed as follows:

  • Credit Card Payments: 5-10 business days
  • Check Payments: 10-15 business days
  • Cash Payments: Available immediately upon approval

6. Partial Refunds

In some cases, partial refunds may be appropriate when:

  • Part of the service was completed satisfactorily
  • Materials were used but installation was incomplete
  • Service was partially performed before cancellation

7. Parts and Materials

7.1 Installed Parts

Parts that have been installed and are functioning properly are generally non-refundable. However, we will work with customers to resolve any issues related to defective parts or improper installation.

7.2 Unused Materials

Unused materials may be eligible for refund, minus a restocking fee, if they are in original condition and can be returned to our supplier.

8. Emergency Services

Emergency service calls are generally non-refundable once our technician arrives on-site, as these services are provided on a priority basis. However, we will address any service quality issues according to our satisfaction policy.

9. Dispute Resolution

9.1 Internal Resolution

We encourage customers to work with us directly to resolve any service or billing disputes. Our management team is committed to finding fair solutions.

9.2 Third-Party Resolution

If internal resolution is not possible, disputes may be resolved through:

  • Better Business Bureau mediation
  • Local consumer protection agencies
  • Small claims court for applicable amounts
